After you've sent your first statement batch, you will be taken to the main page on the Apex website. To get to the statements, you'll need to click on the Statements tab located on the top left-hand side of the website.
Jump to Section: [Failed Status] [Release Statements] [Creating Statements Online]
Once selected, you'll see the batch of statements you sent. Depending on the information sent, you will initially see 2 statuses within the batch; if there is missing information, some statements could be in the Red 'Failed' status. If there wasn't any information, then you'll see the statements in a Gray Pending:
Failed Status
If your statements are showing in a Failed status, then you will just need to go in and correct/add the missing information. To do that, you'll click on the number next to the Failed status.
This will then pull up a list of all your failed statements. Like your claims, you can then click on whichever statement you want to correct.
You will see a list of what exactly is missing from the statement. Enter the correct information, then click Save Changes.
Release Statements
Once all your statements are in the Pending status, that means that they are ready to be sent out. However, in order for your statements to actually be sent out, you have to release them.
Click on the Release button on the right of the statement line.
This will then put the claims into a Blue 'Ready' status, which means they will be sent out by the end of the day with all other statements in the Apex system! The next day you should see the statements have been updated to the Green 'Processed' Status, meaning they were sent out to the patients.
*If you notice that your statements are still in the 'Ready' status, please contact Apex EDI at 800-840-9152 or support@apexedi.com
Creating Statements Online
You are able to create your statements directly online. Select the Add a Batch button.
In the pop-up, select Statements then Create to begin the new batch.
This will create a blank statement page. Include all necessary information, and click Save Changes.
To add more statements, click on the Statements tab and it will take you back to your list of statements.
From here, click anywhere on the batch line and it will take you to a list of all the statements within the batch.
In this view you will see the Add a Statement button, click it and create a new statement page. Repeat these steps, and add as many statements as needed.
Once you've added all the statements, follow the steps on releasing claims, and everything will go out!
