This article will go over the main status that are found on the All Claims Tab. The main statuses are:
- File Received
This is the very first status all batches will receive. When submitted to Apex EDI, the batch will show File Received to acknowledge that Apex has received the batch and is in the process of importing it.
Normally this status will be changed quickly to one of the following statuses, and you will be able to view your claims. However, if you notice that your batch is still in this status for longer than 20 minutes, please contact Apex EDI support at either 800-840-9152 or firstname.lastname@example.org.
This is the most common status seen once the claims have imported. When the claims are in a Ready status, they will be in a Blue square to indicate that they have been processed by Apex EDI and are going to be sent to the payer.
Apex EDI submits all claims to the payer at once each day. Should you have submitted your claims to Apex, and see that they are still in a Ready status the next business day, please contact Apex Support at 800-840-9152 or email@example.com.
This will be the second most common status found once the claims have gone through the import process. This Red box means that the Apex system caught something wrong or missing from the claim and have failed it to be corrected.
To learn how to correct these, click here for a breakdown of our Failed by Apex tab. Once these claims are corrected, they will then be moved to the Ready status and submitted.
This is the rarest claim status that you will find, and normally is indicative of 2 copies of the same claim being sent in the batch. This would normally be shown in an Orange box under the Duplicate column.
If you have claims in this duplicate status, and they aren't duplicates, please contact Apex support at 800-840-9152 or firstname.lastname@example.org.
Once your claims have been put into the Ready status, and then sent to the payer, they will move to a Green box which means that the claims were sent to the payer.
You cannot make any changes to claims that show Processed from the All Claims Tab. However, if you're needing to change a claim that was already submitted, just go to our article about the Claim Status Tab.
